About the Role
- The Goods Receiving Supervisor is responsible for receiving and returning stock from suppliers and other stores
- Ensure accurate capturing of goods receiving vouchers, correct labelling, and timely distribution of stock to the sales floor
- Maintain efficient stock flow and support merchandising processes
Key Responsibilities
Receiving / IBT Stock
- Ensure a second designated employee is present during receiving and dispatching of stock
- Receive stock from suppliers and verify items against invoices, delivery notes, and purchase orders
- Complete proof of delivery documentation and provide stamped copies to suppliers
- Capture all transactions accurately on the system within required timeframes
- Resolve and document any discrepancies with supplier representatives, including truck registration details
- Process all inter-branch transfers (IBTs) within set timelines and maintain proper documentation
Stock Distribution
- Ensure all received stock is cleared from the receiving area promptly
- Facilitate timely merchandising of stock onto the sales floor
Stock Labelling and Pricing
- Label all stock without SKU codes correctly
- Verify accuracy of printed SKUs and correct any errors
- Follow company pricing policies and implement price changes as required
Supplier Claims and Corrections
- Validate all claims with supporting documents such as pick-up slips or credit notes
- Ensure all adjustments are authorized by the Store Manager
- Process corrections with complete documentation
- Only raise supplier claims when stock is ready for immediate collection
Security Awareness
- Ensure the receiving area is always supervised when open
- Secure receiving stamps and purchase order books in locked storage
- Keep the receiving office locked when not in use
- Ensure supplier crews remain at designated areas and do not loiter in-store
Ready for Business
- Maintain a clean and organized receiving office
- Keep the receiving area free from excess and damaged stock
- Follow all operational procedures to ensure store readiness
Customer Service
- Adhere to company dress code and display name badge at all times
- Assist with supplier and customer queries professionally
- Deliver excellent service in all interactions
Safety (OHSA) Compliance
- Ensure first aid kits are accessed only by authorized personnel
- Maintain safety compliance within the receiving area
- Report any safety concerns to the Store Manager
Minimum Requirements
- Grade 12 with at least 1 year relevant experience, or a minimum of 2 years related experience
- Strong communication skills in English and the dominant local language
- Above-average numerical ability
- Proven customer service skills
- Ability to work under pressure
- Computer literacy is essential
- Willingness to work shifts and weekends
