About the Program
Truworths is looking for a skilled Fabric Buyer to join our dynamic team. This role is ideal for someone experienced in fabric procurement, supplier management, and quality control, with a strong focus on cost optimisation and timely delivery. The successful candidate will play a key role in ensuring that Truworths sources high-quality fabrics efficiently while maintaining strong supplier relationships.
Key Responsibilities
Pre-Production
- Build and maintain sustainable relationships with Mills and Agents, managing day-to-day interactions including delivery extensions, renegotiations, and cancellations.
- Obtain and update pricing from Mills and Agents, negotiating on prices, minimum order quantities (MOQ), and lead times for bulk orders.
- Conduct seasonal cost comparisons for core and key volume fabrics across current and potential suppliers to ensure optimal pricing.
- Maintain accurate fabric specifications, widths, and prices in Sync.
- Issue fabric briefs with specifications, color swatches, and Pantone references to Mills and Agents, following up to meet deadlines.
- Manage Lab Dips and Print Design approvals, ensuring timely fabric production.
- Obtain approvals and communicate re-labs to Mills and Agents; immediately notify Production Planners and Merchandisers if deadlines are impacted.
- Efficiently address all fabric-related queries and issues with suppliers.
Purchasing & Delivery of Goods
- Analyse Merchant briefings, ratings, dyelots, and MOQs from Mills.
- Calculate fabric quantities required and place accurate orders within 48 hours of receiving requests from Merchandising.
- Ensure fabric orders meet off-bulk deadlines and warehouse in-house dates.
- Follow up on deliveries to ensure on-time receipt of fabrics, informing Production Planners and Merchandising of any deviations.
- Raise purchase orders (POs), confirm details with Mills, and specify fabric construction requirements and special instructions to prevent quality issues.
- Monitor weekly delivery schedules and ensure all orders are tracked.
- Approve off-bulk production and update POs upon fabric delivery.
- Maintain fabric within designated tolerances and manage penalties, claims, or airfreight requirements with suppliers.
- Track stock fabrics to prevent unnecessary orders and maintain Fabric Stock Files.
- Process all supplier claims and ensure receipt of credit notes.
Quality Standards
- Review lab reports for bulk fabrics to ensure compliance with Truworths standards.
- Submit bulk testing to the QA Lab as required.
- Follow up on lab failures and escalate significant issues to senior management.
- Liaise with Mills and Agents to resolve quality issues promptly.
General Administration
- Evaluate and propose improvements to departmental systems and processes.
- Maintain consistent administrative practices across the department.
- Keep an organized workstation and filing system.
Qualifications and Experience
- 3–5 years’ experience in a fabric buying environment.
