Purpose of the Job
The Dispatch Supervisor is responsible for managing and coordinating all dispatch operations within a warehouse or distribution facility, ensuring the smooth movement of stock. This role oversees outbound logistics, guaranteeing timely and accurate dispatch of goods while complying with company procedures and safety regulations. The Dispatch Supervisor leads a team of dispatch staff, monitors KPIs, drives operational efficiency, and ensures the quality, safety, and security of all goods and assets.
Key Responsibilities
Dispatch Operations
- Ensure all Standard Operating Procedures (SOPs) are understood, trained on, and consistently followed
- Utilize business systems to manage and monitor dispatch processes effectively
- Plan daily outbound stock dispatches to meet deadlines
- Allocate staff resources based on expected volumes for efficiency
- Oversee and coordinate the picking process to meet dispatch schedules
- Ensure availability of materials and equipment required for dispatch activities
- Maintain stock and packaging condition, following specific handling requirements
- Investigate and resolve discrepancies in documentation, vehicles, seals, or dispatched goods
- Liaise with relevant departments to resolve issues within 24 hours
- Coordinate vehicle arrangements for timely dispatch
- Ensure correct loading procedures and securement of goods prior to vehicle departure
- Manage and update Work in Progress (WIP) reports daily
- Maintain accurate dispatch documentation and filing
- Monitor and analyze dispatch reports, implementing improvements based on insights
Staff Management
- Lead, supervise, and motivate dispatch staff
- Plan resources efficiently to meet daily operational needs
- Monitor and minimize overtime, authorizing only when necessary
- Ensure all dispatch staff receive appropriate, up-to-date training
Quality, Health & Safety, and KPI Management
- Track, manage, and report dispatch KPIs monthly
- Implement continuous improvement initiatives within dispatch operations
- Proactively address potential issues to prevent escalation
- Ensure compliance with Quality Management System (QMS) procedures
- Raise and resolve Non-Conformance Reports (NCRs), Non-Conformance Procedures (NCPs), and Improvement Opportunities (IOs) within five working days
- Maintain QMS objectives and targets
- Uphold Occupational Health and Safety requirements and complete scheduled safety checks
- Maintain high standards of workplace cleanliness and organization
Material Handling and Asset Management
- Ensure security of the facility, stock, and assets according to Loss Control policies
- Track and maintain assets for proper utilization and upkeep
- Ensure efficient and responsible use of Material Handling Equipment (MHE)
Minimum Requirements
- Grade 12 (Matric)
- Diploma or Degree in Logistics, Warehouse, or Business Management beneficial
- 5 years’ experience in logistics or warehouse operations, including at least 2 years in management
Skills Requirements
- Excellent communication skills
- Proficiency in Microsoft Office Suite
- Experience with warehouse systems (WMS, V7, My Business)
- Strong attention to detail and analytical skills
- Problem-solving and decision-making abilities
- Accountability and leadership skills
- Ability to resolve discrepancies efficiently
